How to Apply Partial Credits

We are beginning a promotion which will allow the customer to purchase 5 oil changes for a flat fee. The customer prepays and we set up as a credit on their account. Each time they visit, we plan to apply 1/5 of the credit and write off the difference to cover the actual cost of the oil change. We looked at the coupon option, however, it seems to be based on dollar amount and percentages on a per transaction basis. Setting up the credit allows us to account for the cash receipts, however, we have not been able to find a way to apply a partial credit....any suggestions?

We have done oil change promotions where the customer can purchase X# of oil changes at a discounted price. What we did was a coupon book that they purchased and then they could redeem the coupons when they had their oil changed. We would handle this coupon book the same as a gift certificate. Gift certificate handling can be found in this thread

Thanks for the quick response. My problem with using a payment method titled "gift certificate" is that is does not enable us to track the balance remaining on the gift certificate...unless there is something I am missing. Does anyone know of a way to Apply Credit in partial amounts...that would solve our issue. Thanks. :)

The gift certs are a good idea. But if you were set on deducting credits, I am sure it can be done like an ROA. Hit the F5 button each time they come in and adjust the account. Hopefully Tina will chime in here soon. Im sure she has an easy way to handle this.

OK. We use the KISS method.

We use Promotions for our oil change special. We have one for the initial purchase and one for each subsequent purchase. The intial one is the only one that involves money. When a customer buys the special, they get the oil change and pay the whole fee. At that time we place the remaining specials all on Rev 9 so we can track which one is next and how many they have left. It's hard to mess this up, which is the way I like it.

Something rather simple we observed in a recent workshop might apply here.

This shop would sell a block of 5 or 6 oil changes and collect it all up front; paid for and done. Then when the customer presented their LOF receipt, they went to the Customer screen, clicked on Market, then selected the next LOF entry from their previously unused Groups fields:

So at a glance, the shop can always see how many LOFs have been done and how many are left even when the customer forgets to bring the receipt.

Same here except we are using Rev 9. Just copy/Paste the next one onto the order. Easy.

That's right. We use the Promotions because it's easy to define the cost regardless of what parts we use.

We still keep the original LOF on there. But copy/paste the data into each Promotion
