Printing Work Performed Date On INV?

Post by kerrybros »

How can I go about printing the date of the work performed on the invoice as opposed to the print date. We do not put our RO into the CPU until a day or two later, sometimes a week. I need to put the day that the work was performed on the INV to show the customer that I did not fix 10 of his trucks all on Friday. They were done 2 per day.

Unfortunately there is no field to input when the service was performed. I believe in this case a note would have to be added to the invoice.

Wow that's too bad. It seems like that should be a pretty easy fix to write that into the program. I am already having to use notes for Engine Hours and PO#s. It really looks bad on the invoice. There has to be a way to get the work performed date on the Invoice and look professional.

Is there anybody else that is needing this?

When the Invoice is marked as printed (just prior to posting), it populates Date Work Completed automatically. I suspect most shops here operate that way.

I have tried changing the date by date at posting, at the printing option, scheduling date, and options to put in the right date for when work was completed. You would think this would be an easy fix if they give these options. I also think print date looks unprofessional. I have been in the billing area for over 20 years and never seen an invoice you can't change the posting date. This also affects your month end reports. If I post my invoices in the next month even though they were completed in the previous month, do not show up in the proper revenue month.
Sometimes when I am out of town(we are a small shop), my mechanics will use paperwork work orders, as they aren't comfortable with using the computer and I have to enter them at a later date. Not sure how this could be fixed but it sure would be nice. thanks Wendy

You can post a payment and an invoice to a date in the past. We have no storage in the database when each work item was completed. Every Invoice when printed is assumed by the software as completed Unfortunately the printed invoice will only show the date completed when the Invoice is printed from history (or after printing from the WIP screen. There are no plans to change that behavior.

Here's a workaround for you from my Service Advisor.

When you are creating Invoices, do not print them right away. Post each Invoice first to the date the work was done
change this date to the date the work was done
change this date to the date the work was done
postingdate.png (3.3 KiB) Viewed 6733 times
Then go into History for the customer and print the Invoice from History. This will show two dates, the Work Performed date and the Printed date.
work performed date now matches
work performed date now matches
invoicedate.png (11.11 KiB) Viewed 6733 times
It's a few extra steps but gets you what you want.
