Oil Change Reminders?

We just switched to Mitchell and we are looking to continue sending reminders to our customers for 2 things: oil changes and tire rotations. With our previous system, we had to ability to set the reminders to a certain date and mileage which would generate a reminder letter that we printed and sent out daily. We are looking to send similar reminders to our old system but also to send emails whenever possible to cut down on mail expenses.

PLEASE HELP!
I am not sure how to set this up. Our customer's rely on some kind of mail (posted or electronic) to remind them when an oil change may be needed. We do not want to have these reminders stop but I have no idea if this can be done somehow and if so, how to set it up.

Any information or guidance would be greatly appreciated. Thank you!

Welcome to the forum and thanks for your question. I'm sure some of the regulars will share what they do in regards to reminders and letters.

Please know that using the Followup tab in Reports, you can go with service reminders (postcards) by date, mileage or other paramaters. Go to Reports - Followup; double-click on any of the FL letters or PC postcards to gain access to the Followup tabs. As you click through the tabs you'll begin to see the possibilites.

You may create Recommendations for work and then use a Followup - Recommendations letter. Shops typically date range this task on a weekly, bi-weekly or monthly basis.

You can do this easily with what you have now. Here's how....

First, you need to start using Recommendations. Before you finish an Invoice, start recording all the future work you're recommending. This is done on the Vehicle tab. When you add a Recommendation, you specify the Need By date. This is the trigger that will be used when you gather data for a mailing. You can add all kinds of verbiage and can save often used ones. Here is where you'll make your oil change recommendation.

Second, you'll gather data from Recommendations using Follow Up. Follow Up is in the reports section. Mitchell provides some pre-made letters and you can create/modify them. Once you have a letter or postcard, then you use the built in query to gather them up. I use the letter form. Some use postcards. I like letters because I can stuff other shop related propaganda in there.

You can use the above recommend information to generate Text messages to your customers using pro-pack. We are able to send texts for oil change reminders & upcoming appts. It saves on postage & response time.. I highly recommend it. I am sure one of the pro- pack people will chime in to tell you all about it.
